Moodle as a Curriculum and Information Management System

Chapter 2. Building the Foundation—Creating Categories and Courses

Now that you have explored the basics of Moodle, developed a concept of how it is designed and most often used, and walked through the installation process and initial customization process, it is time to work on further building Moodle into a CIMS. The C in CIMS stands for curriculum and the fundamental unit within curriculum, as I will use it in this chapter, is the course.

This chapter will explain and demonstrate how to create and organize the courses offered in your curriculum, within Moodle. The following topics will be covered in this chapter:

  • The creation of course categories

  • Creation of teacher accounts

  • Installing and using the bulk course creation tool

Course categories


Categorization is an innate human behavior that allows us to perceive and understand the environment that surrounds us. Moodle designers must have recognized our tendency to categorize, because Moodle contains a flexible categorization system that allows for the creation of categories in which you may house additional categories and courses. Any educational program that offers courses of various varieties will invariably be using a categorization system like this for grouping courses into specific categories. A language program, for example, might group courses into skill-specific categories such as those of listening, speaking, reading, and writing. A larger entity, such as a college, would likely group courses into content-specific categories such as literature, sciences, speech communications, and the like, with additional subcategories used inside each of those main categories. Time for action – manually creating course categories


Let's get started by first taking a look at the courses and categories that exist in the default installation of our MAMP package. We'll proceed by manually creating the categories and subcategories we need for our language program example.

  1. Log in to your Moodle site as admin, or as a user with administrative permissions, and click on the All courses link found at the bottom of the Course categories block from your front page.

    Tip

    An alternative method for accessing the Course category window is to simply type the word 'course' into your browser at the end of your website address from the front page of your Moodle site. This will direct your browser to the default file, index.php, located in the course directory (for example, for the XAMPP package, it will look like this http://localhost/moodle19/course).

  2. The block should look like the following screenshot if you followed all the instructions from Chapter 1, Welcome to Moodle as a Curriculum...

Teacher account creation


We could, at this point, jump to an explanation of the Bulk Course Upload tool. Unfortunately however, the Bulk Course Upload tool will not automatically create user accounts for us. Therefore, if we want to make the most of the tool, we will need to first create the accounts that we will label as teachers in the file used by the Bulk Course Upload tool.

Time for action – creating teacher accounts


We will create twenty users that are each going to be assigned to teach four courses. If you are only creating one user on your site, you may decide to create the account manually by clicking on the Add a new user link found via the following path: Site Administration | Users | Accounts | Add a new user. When adding multiple users however, it is a much more efficient process to use the Upload users feature found in the same list under Accounts where the Add a new user feature is located. To create the new teacher accounts, follow these steps:

  1. Click on the Upload users link as previously described. The following screenshot shows the path visually:

  2. After clicking on Upload users you will be presented with a screen that allows you to browse your computer and select the file that contains the information necessary to create the accounts. The file must be formatted as a CSV (Comma Separated Values) file and can be created in any text editor or in a Microsoft...

Using the Bulk Course Upload tool


Rather than creating course categories and then courses one at a time and assigning teachers to each course after the course is created, we can streamline the process through the use of the Bulk Course Upload tool. This tool allows you to organize all the information required to create your courses in a CSV (Comma Separated Values) file that is then uploaded into the creation tool and used to create all of your courses at once.

Tip

Limitations of the Bulk Course Upload tool

Due to its design, the Bulk Course Upload tool only works with MySQL databases. Our MAMP package uses a MySQL database as do the LAMP packages explained in Chapter 1, Welcome to Moodle as a Curriculum and Information Management System (CIMS)! If your Moodle site is running on a database of a different variety you will not be able to use this tool.

Time for action – installing the Bulk Course Upload tool


Now that we have our teacher's accounts created, we are ready to use the Bulk Course Creation tool to create all of our courses. First we need to install the tool as an add-on admin report into our Moodle site. The steps for the installation process are virtually the same as those explained in Chapter 1, Welcome to Moodle as a Curriculum and Information Management System (CIMS)! for installing Modules, Blocks, and Themes. To install this tool, do the following:

  1. Go to the Modules and plugins area of www.moodle.org.

  2. Search for Bulk Course Upload tool.

  3. Click on Download latest version to download the tool to your computer.

  4. If this does not download the package to your hard drive and instead takes you to a forum in the Using Moodle course on Moodle.org, download the package that was posted in that forum on Sunday, 11 May 2008.

  5. Expand the package, contained within, and find the uploadcourse.php file.

  6. Place the uploadcourse.php file in your admin...

Summary


In this chapter, you have learned how to set up and organize course categories manually via the editing screen of your Moodle site. You then walked through the process of creating accounts for teachers that were going to be assigned to courses through the use of the Bulk Course Upload tool. We then introduced the Bulk Course Upload tool and explained how to get it installed on your system. You walked through an explanation of the fields that can be specified in the CSV file used by the tool and then practiced creating courses and assigning them teachers in order to get a seeing is believing perspective on the usefulness of the tool. In the next chapter, we'll continue to build on the system we have created so far by adding students and registering them in courses.

As an educator, I feel that this book is a great source for anyone who plans on working with Moodle. Mr. Hollowell has written the book in a logical, easy to follow sequence, that allows for both cover to cover reading and/or referencing for subject specific questions. Institutions new to Moodle, particularly their tech departments, should consider this a must as it provides step by step instructions for getting started and provides ideas as to how Moodle can best be used to meet your needs. For those who are already using Moodle, this book will provide a variety of ideas on how Moodle can be used to streamline a wide range of tasks. As noted in the subtitle, this book will help readers to "use Moodle to manage and organize your administrative duties, monitor attendance records, manage student enrollment, record exam results, and much more". Whether you are completely new to Moodle or an experienced user, an administrator, teacher, or IT coordinator, this book will prove invaluable.

If your school is considering Moodle (versus another LMS) you MUST read this book first. However, the greatest use of this book is for moodle admins as it covers a lot of their work and issues with Moodle. There is a lot out there for teachers and users who want to work with moodle, but not so much for (technical) administrators.

The two books I wish I had had when I started Moodling are this one and Mary Cooch's "Moodle for Teaching 7-14 Year Olds - Beginner's Guide" [...] Both are in the "Beginner's Guide" series by Packt Publishing, and both would have reduced considerably the learning curve to building a Moodle site and building Moodle classrooms. In fact, Mary Cooch has written a longer review of Jason Hollowell's book, which is located here: [...] In her usual, methodical approach, Mary goes chapter by chapter through "Moodle as a Curriculum and Information Management System." I'm just going to "gee whiz" about some specific parts.I wish I'd known that I could install a test Moodle site on my computer. It's a fairly simple process, and Hollowell takes readers through it with great clarity and simple prose. If you're new to Moodle, this is the very first thing you should do: read his Chapter 1, and start playing to see what Moodle can do. He's also very clear about how to build a course, create categories for courses, and -- holy grail for large programs like mine -- use the Bulk Course Upload tool to create courses in, well, bulk. My institution had considerable floundering -- which I see among Moodle newbies on the discussion boards at Moodle.org -- about how to bulk enroll users, but had we had Jason's book, we would have saved ourselves several months of explorations.The real meat of Hollowell's book, however, is in the last 5 of its 10 chapters. Here, we begin to see the true power of open source and of the "modular" part of the Moodle acronym. We learn how to make Moodle function as an information portal, how to add supervisory and parental roles using the Mentees block, how to add and use the Enhanced User Administration and Custom SQL blocks. These are "pieces" you can add to Moodle but that do not come built in. The addition is not complicated, and, as always, the installation and use is explained in simple terms for beginners. The true power of open source software is access to the database. Unlike a proprietary system in which users are walled off from the data and only allowed to make preset queries, open source allows users to pull any data they want. Even if you don't know how to write SQL queries (I don't), you can pay someone else to write the query, then plop it into the Custom SQL block, and teachers can run the query with a simple click any time they want.One of the two concepts in Moodle hardest to wrap your head around is the meta course. Hollowell takes beginners through the creation of a meta course and demonstrates how it works with considerably less confusion than the Moodle documentation. He shows how metacourses can be used for efficient communication, especially in the context of an advisory or counseling system.Finally, the last chapter shows off another virtue of open source software. With a grant from Nihon University, Hollowell designed the Registration Enrollment plugin and had the programming done by a Moodle Partner, Moodlerooms. The plugin was then contributed back to the Moodle community for use by anyone. This is a pretty sophisticated plugin while at the same time being simple to operate.All told, this is a great beginner's guide book. Even if you use only half the chapters, you'll be well off for reading it.

I found the book very easy to follow but it suffers from the perennial problem of any publication of this type. Moodle itself has moved on (Now version 2.9) and, while I could have installed an earlier version of Moodle (1.9), I am reluctant to do this. The author could have made sure that the "addins" he recommended were still available for download (A few have been discontinued and the others extended) - maybe they could have been made available on the publisher's website. .
