Salesforce CRM Administration Handbook

Salesforce Architecture

In today’s era, technology plays an unimaginably crucial role. We encounter it daily, holding a mobile phone in our hands, staring at a laptop screen, or even validating a ticket in public transportation. Salesforce is also a technology that propels businesses into their digital renaissance and streamlines their processes. However, behind the sleek interface lies a complex system architecture, allowing users to operate within the Salesforce ecosystem. In this chapter, we will dive deep into the sea of technology on which the system is built, helping us understand its structure and discerning why it functions the way it does. We’ll cover the following topics:

  • Understanding multi-tenant architecture
  • Discovering Salesforce orgs – what does it mean?
  • Salesforce instances and PODs

Understanding multi-tenant architecture

In this section, you will learn about the types of system architectures. You will understand the difference between the following three types of structures:

  • Multi-tenant
  • Single tenant
  • Hybrid systems

You will get to know the challenges faced by landlords when establishing boundaries between one client and another and making updates. Most importantly (remember this is a book about Salesforce), you will find out why the leading CRM uses a multi-tenant architecture.

Multi-tenant structures

In the world of technology, “multi” is quite a common term: multi-tasking when talking about phones, multi-tenant when discussing cloud solutions, and multi-universe in the context of superhero movies. Oh, wait – we will not be focusing on that last part in this book.

When we mention multi-tenant, we are referring to a model where a single software instance serves multiple clients. All these clients use the same...

Discovering Salesforce orgs – what does it mean?

In this section, you will learn about the concept of an org, find out where it comes from, and discover the types of orgs used by Salesforce. Did you know that there is something called the lifecycle of an org? No? Well, you are about to find out. In the end, I’ll provide you with best practices that will save you from many, many questions from your users and other administrators.

As you probably already know, Salesforce has its own universe – its structure and even its language are tailored to it, and believe me, Salesforce sounds best in English. But, getting to the point, many times when you have spoken, are speaking, or will be speaking to people working within this ecosystem, you will hear phrases such as “in my org” or “but my client’s org is truly a work of art.” You might be wondering what this whole “org” really means.

Well, “org” is short...

Salesforce instances and PODs

In this section of the chapter, you will discover the fascinating world of Salesforce PODs. But what is a POD? The acronym POD stands for Point of Deployment, which may sound a bit enigmatic. To better understand this, let’s start with something you may have heard of – the word “instance.” Salesforce PODs are a different name for Salesforce instances. Instances or PODs are the places where your Salesforce data is located. It is a server location where your Salesforce org is hosted and from where it operates. Does the instance equal the org? No! On the Salesforce instance, there can be multiple Salesforce orgs allocated. Of course, each Salesforce org is separated and secured, so you can’t access the information of orgs that you don’t have access to. However, orgs from different companies are located in the same instance. As you may already know, Salesforce has thousands of customers, so you may now be wondering...

Summary

Congratulations! You have just come through the second chapter of this book! I hope you stay motivated and ready for the next chapter. For now, let’s summarize the chapter that you have just finished.

We explored the concept of multi-tenancy, where a single software instance served multiple clients. We examined the challenges faced by Salesforce in maintaining boundaries and making updates. This chapter shed light on why Salesforce employed a multi-tenant architecture. Thanks to comparison to a hotel where guests shared common resources but had isolated, private rooms, you should now remember better what multi-tenant means.

Next, we unraveled the notion of Salesforce orgs, their origins, and the various types in use. We learned about the lifecycle of an org and received practical best practices to address user and administrative concerns effectively.

In the final section of this chapter, we introduced Salesforce PODs, which are essentially server locations for...

Even after several years of working as an admin, with the SF admin and advanced admin certs, I learned plenty from this book. It's useful to peruse and also handy to have as a reference tool. This would have been so helpful before I took my SF certification exams! It's hard to write a technical book in a way that won't exhaust the readers, and the tone and manner of the book is engaging and light.I'm recommending this to the newer admins I cross paths with.

I was given the opportunity to review an early copy of this book. It will serve as an excellent tool for seasoned and beginner Salesforce administrators. It is structured in such a way that you can read it from start to finish, or use it as a refresher for areas where you need a little guidance. I love the step-by-step instructions and the informal way that the author speaks to the reader. I learn something new every time I reference the book. I highly recommend this book to anyone in the Salesforce ecosystem, especially to the new Salesforce Administrator.

The book is meticulously structured to cater to both beginners and advanced users. It starts with the fundamentals of Salesforce CRM, making it accessible for newcomers, and gradually delves into more complex topics, ensuring that even experienced administrators can find valuable insights. The chapters are well-organized, covering a broad range of topics including data management, security, automation, and customization. Here are my takeaways:1. **Clear and Concise Explanations:** The authors excel at breaking down complex concepts into understandable chunks. Each topic is explained clearly, with step-by-step instructions that make it easy to follow along.2. **Practical Examples:** One of the book’s strengths is its use of real-world examples and scenarios. This practical approach helps readers understand how to apply the concepts in their own Salesforce environments.3. **Comprehensive Coverage:** The handbook covers everything from the basics of navigating the Salesforce interface to advanced topics like Apex programming and custom object creation. This comprehensive coverage ensures that readers have a well-rounded understanding of Salesforce administration.4. **Tips and Best Practices:** Throughout the book, the authors share valuable tips and best practices that can save administrators time and help them avoid common pitfalls. These insights are particularly useful for those looking to optimize their Salesforce implementations.5. **Visual Aids:** The inclusion of diagrams, screenshots, and tables enhances the learning experience. These visual aids are well-integrated into the text, helping to illustrate key points and provide clarity. This handbook stands out as a thorough and insightful guide that successfully demystifies Salesforce administration. Its blend of theory, practical advice, and real-world examples makes it a cornerstone resource for effective Salesforce management.

I received an early review copy of this book and this review is my honest opinion after reading it.This is book based on the authors' practical experience of working with Salesforce on a day-to-day basis and contains the fundamentals that are essential for any admin. The authors are clearly writing based on their own experience of Salesforce setup and configuration, and based on my own experience I can validate they have covered all the core areas of Salesforce. It gives users new to the platform all they need to setup and administer a Salesforce system for a team. I'd particularly recommend this book for anyone who has been thrust in to the new role of Salesforce administrator from a background of sales support or admin, for example, or anyone who has worked with another CRM system and needs to get up to speed with Salesforce. It also contains information on the Salesforce certification process and admin exam, which is also highly relevant for any new admin looking become certified and build their career on the Salesforce ecosystem. This section, along with all the others, is based on the practical experience of the authors in treading the same path, and the reader can have confidence that every tip or piece of advice is based on real-world experience. This is not a book for everyone - if you have already worked with Salesforce for many years you'll find little new material here, but as a solid introduction / foundation for new admins, I can highly recommend it.

I was provided an early copy of this book at no cost for review, and have no other connection to the authors or publisher. I am a Salesforce Admin and rather than read this cover to cover, I use it as I do other tools, looking at specific topics for situational information based on my experience and I find it to be timely, well-organized, and user-friendly. Importantly, the focus is on Sales Cloud and Service Cloud. The authors have done an excellent job describing both simple and complex concepts in clear, understandable language, supplementing the narrative with useful visual aids including graphics and screen clips. This book not only takes you through the must-know aspects of Salesforce, covering objects, records, automation, system architecture, security, reporting, and much more, but it also includes a section on exam preparation for aspiring professionals. When you purchase the book, you can download a PDF copy at no cost with proof of purchase. I encourage anyone considering purchasing this book to look at the breadth of content included in the Read A Sample link in the listing. There you can see the Table of Contents, a text sample, and the index. I do wish there was more content related to Flows and actually would love to see a book like this one dedicated to them! Despite a few minor typos and some attempts at humor that didn't resonate with me (but admittedly may with many others), this book would be an excellent addition to a Salesforce Administrator’s toolkit.Without a doubt, this is a book I would purchase and feel was well worth the cost. I would and will also recommend it to my professional network.
