User Administration

Now that we have learned the basics of the ServiceNow platform, login process, and its user interface, let us dig deep into how to create and assign roles to new and existing users. As part of your project at ABCD, Inc, you are suppose to provide Server Administrators access to your newly procured ServiceNow instance and they should be able to access Incident Management, Change Management, Problem Management, and Knowledge Management applications.

In this chapter, we will learn how to create new users and associate them to a group. We will also learn how we can assign roles to groups and users. Furthermore, we will learn how we can impersonate a user to test if our newly created users have access to proper applications and modules.

Creating a new user

Every ServiceNow developer instance comes with some pre-populated demo data, which also includes some demo user accounts. In ServiceNow, all user records are stored in a table named sys_user:

  1. Click on the Users module under the User Administration application to list all users in the system, as shown in the following screenshot:
  1. Click on the New button on the top left of the content frame to bring up the User table's New record form:
  1. Fill in the User ID, First name, Last name, Password, and other fields as needed and click on the Submit button to create a new user. The User ID field is mandatory and must be unique and is also referred to as username.

Best practices for managing groups

There are four major aspects to consider when associating users to groups.

Task assignments

In ServiceNow, assignment groups are the most common user group type consisting of one or more members. There exists an out-of-the-box relation between assignment groups and the assigned to field in different ServiceNow applications such as Incident Management, Problem Management, Change Management, or Service Catalog Management. In real-world scenarios, it's typically mandatory for the assignment group to be identified and populated on task records before a Service Desk user can perform any update to any task or ticket.

Impersonating a user

Users with an admin or impersonator role can impersonate as any other user in the instance. This feature is useful for testing when making changes to applications and modules and to ensure proper security access.

There are three important user accounts that come by default with every developer instance:

  • admin: The system administrator account with the admin role has access to all applications and modules
  • itil: The Service Desk user with access to ITIL applications, such as incident management, problem management, change management, configuration management, service catalog, and so on
  • employee: A normal user account with no role or group assigned and access to just the Self-service application

In this chapter, we learned how to create and manage users, groups, and roles and how this can affect access to different applications and modules. We also learned about best practices when creating users and groups and understood how to manager individual user sessions and lock out users when required.

This book is an excellent work by the authors. Very detailed and well explained about travel management example with ServiceNow which helps to understand the concept very clearly . I bought a hard-copy after having read the eBook version which my employer provided to me. This is a must have book for anybody working on ServiceNow platform. If you are new to ServiceNow platform then this book can help you get quickly started and create solutions. The many approaches discussed in the book can give you a in-depth understanding of ServiceNow. I am going to keep this book handy and use it as my go-to reference. I work on the platform extensibly and this book has helped in getting things done and helped me in design decisions.

I think this is one of the best books on ServiceNow platform so far. The flow of the topics helped me easily learn many different features of the platform. As a developer, I found the online documentation of ServiceNow very difficult to understand, but this book has helped me gain in-depth and hand-on knowledge of development on ServiceNow platform.
