Mastering Prezi for Business Presentations (Update)

Chapter 2. Hands-on with Prezi Mechanics

Now that you have got a feel for the Prezi frame of mind and what it's like to design on this new canvas, you're probably ready to start trying out some of your ideas. In order to achieve this, we'll take a look at some of the main tools Prezi offers to build a presentation using their software. These tools really make up the core of what Prezi is, and they help it stand out from the other presentation software options. You'll learn how to bring your Prezi to life with paths that connect your content and create motion in your presentation. We will discuss:

  • Templates
  • Paths
  • Shapes
  • Grouping
  • The Text editor
  • Animations
  • 3D backgrounds
  • The present button

Templates

We always face constraints when creating a business presentation, most often in the form of an impending deadline. If you do find yourself against the clock when building a Prezi, then why not give yourself a slight advantage and use one of Prezi's templates to get your design started? There are lots of templates you can choose from and we'll consider how to make the most out of them when the clock is ticking.

Additionally, using these templates is also a great way to start familiarizing yourself with Prezi and its mechanics. Filling in some elements in a template is much less daunting than creating something new from a blank canvas. The basic design and structure of the presentation is already created, and you can fill in the details and make changes to the structure where needed. Although the very best Prezis are typically the ones created from scratch, it makes sense to familiarize yourself with the capabilities of Prezi by creating at least a few that are based on...

Paths

The path is the tool in Prezi that helps you arrange the order you will move through your presentation. In PowerPoint, you can only move from one slide to the one immediately following or preceding it. If you're moving through paths in Prezi, you still go in order, but you can move anywhere in the Prezi, rather than being forced to stay in close spatial proximity to the last point on your path. Additionally, it is possible to revisit a previous point in the path without having to duplicate the content in order to expand on or emphasize something that may already have been covered. In addition, you can stop following a path at any time and choose to freely scroll or zoom around the canvas.

Creating motion

Paths are incredibly important in Prezi because this is the tool that actually allows us to create the motion for which Prezi is so well known:

Shapes

A very simple element of the Prezi that gets overlooked a lot is the Symbols & shapes… option, which is available in the Insert menu. In this part of the chapter, we'll look at some things you may not know about how shapes work within Prezi.

Shapes

After clicking on the Symbols & shapes… option, a new menu will appear on the right-hand side of your screen, allowing you to select from various types of symbols and shapes. If you click on Shapes from here, you'll be able to access and easily add the standard shapes such as triangles, circles, and rectangles.

Tip

Using these shapes along with the Draw arrow and Draw line option available in the Insert menu in Prezi can allow you to create custom designs or doodles in Prezi that can help your presentation stand out. Try to create your own simple drawings whenever you can, as these can be reused over time and will, in turn, save you lots of time searching for imagery via other means.

Grouping

Grouping is a great feature that allows you to move or edit several different elements of your presentation at once. This can be especially useful if you're trying to reorganize the layout of your Prezi after it's been created, or to add animations to several elements at once. Let's go back to the drawing we created earlier to see how this might work:

Grouping

The first way to group items is to hold down the Ctrl key (Command on Mac OS) and to left-click on each element you want to group individually. In this case, I need to click on each individual line that makes up the flat top hair in the preceding image. This might be necessary if I only want to group the hair, for example:

Grouping

Another method for grouping is to hold down the Shift key while dragging your mouse to select multiple items at once. In the preceding screenshot, I've selected my entire person at once. Now, I can easily rotate, resize, or move the entire person at once, without having to move each individual...

Prezi text editor

Over the years, the Prezi text editor has evolved to be quite robust, and it's now possible to easily do all of your text editing directly within Prezi.

Spell checker

When you spell something incorrectly, Prezi will underline the word it doesn't recognize with a red line. This is just as you would see it in Microsoft Word or any other text editor.

Spell checker

To correct the word, simply right-click on it (or Command + Click on Mac OS) and select the word you meant to type from the suggestions, as shown in the following screenshot:

The text drag-apart feature

So a colleague of yours has just e-mailed you the text that they want to appear in the Prezi you're designing for them? That's great news as it'll help you understand the flow of the presentation. What's frustrating, though, is that you'll have to copy and paste every single line or paragraph across to put it in the right place on your canvas.

At least, that used to be the case before Prezi introduced...

I've presented using Prezi before, but I never really got the hang of using it effectively. I moved back to PowerPoint. The first chapter of this smart and timely book points out what I didn't catch the first time: even though I tried to use the Prezi tools, I still was thinking in a linear way about planning my presentations. Before even introducing the software, the authors dedicate a full chapter to thinking in a non-linear way. This initially surprised me, but as I read through it, their suggestions, comments, and advice started to click. Everything else in the book flows from that initial idea: to do Prezi well, you have to think non-linearly from the very beginning of content development, not as an afterthought or as a way of making it look cool. That realization alone is powerful.Chapters 2 and 3 give the basics and then a deep dive into the design features of a Prezi--I didn't know I could use CSS in this program, but now I know that and more. Dozens of helpful step-by-step tutorials with multiple images abound, whether that's for learning how to insert a line, create a path, or import slides from PowerPoint (Chapter 4). Common frustrations such as import failures, content loss, and uneven sound levels are addressed, which helps immensely. One of the biggest bonuses is the tutorials on how to use technologies outside Prezi (Inkscape, Audacity, YouTube) in conjunction with Prezi. The chapters on mobile/tablet use, remote presenting and collaboration are also thoughtful. Each chapter is impressively documented with images and text; I will return to the chapters in the future to brush up on my techniques. The book even details not just how to present a Prezi effectively (aspect ratios! they matter!), but how to create an interactive whiteboard on the cheap to make your Prezis truly remarkable. (And if you're not convinced about their thoroughness, there's some even technical code-related work you can delve into on presenting your Prezi on the web.) To cap it all off, they finish with a chapter on how to help "Prezi masters" in PowerPoint-dominated companies transition their colleagues and bosses to Prezi. This long, detailed, thoughtful book is a one-stop shop for everything you need to know about Prezi, whether you've never used it, used it a ton, or are seeking to teach others how to use it.

I have always used Microsoft PowerPoint for presentations and I'm a newcomer to Prezi (in fact I plan to be using both, depending on the occasion). I was therefore looking for a book that can both introduce me to a new concept/way of thinking about presentations but also give me enough knowledge to create a presentation good enough for a demanding audience. Mastering Prezi for Business Presentations is a great book as it did achieve both.Things I liked:•Good for newcomers it's a "master" series but also great for beginners•Well structured and edited•Information is presented in a methodical (there's "steps" guiding throughout) way so for people with already some expertise they can use it for reference (no need to read from cover to cover).•Good balance of pictures/screenshots with content•Starts with overview and some general guidance (for beginners) and then jumps into the nitty gritty stuff•It presents additional information about a topic for those non-experts. For example when talking about Prezi and images, it also gives an overview of raster vs. vector, popular editors, description of file formats and advantages/disadvantages of each in relation to Prezi as well - for example how to find images, vectorize and insert.•Also found very useful the "summary tables" which help the reader decide on a technology or file format, feature etc.I haven't found anything negative although I must admit I haven't read it from cover to cover. I have yet to try the Prezi API, there's always the possibility of errors lurking in the JavaScript code.. ;-)Overall a well-written book, recommended for both beginners and intermediate readers. I cannot say I am necessarily a master of Prezi yet but I certainly feel confident I can do quite a lot with it.

I've been a Prezi user for several years and was looking for a good intro to all the features. It was recommended by one of the authors in some tutorials I saw on YouTube. While there were some helpful guides to using basic features, the book covers a version of Prezi that isn't up to date so there are some significant holes and a few changes that are different from the book. For example, paths in the old version we're much more flexible than they are in the current version. The food news is that for now, the old version is available as Prezi Classic, so the book is more relevant for that app than the latest version. I have found the book a helpful supplement to the information I've found on The Prezenter YouTube channel that is hosted by the author

A guide to Prezi for the many of us who already use that presentation tool but want to move to the next level of mastery. The book is great in suggesting what is really new in Prezi - the '3D' approach which allows to escape from the linearity of PPT and offers your audience an idea of the complexity you are talking about. This really 'hands-on' guide helps you in clarifying how to transform a presentation in a storytelling experience. I have found dozens of good tips to communicate clearly, consistently and effectively with Prezi. Not to forget, many good ideas to avoid motion sickness...I'd recommend this book to all those who don't just want to 'jazz up' their slides, but are looking for a way to get the most out of Prezi. Why not 5 stars? There is so much enthusiasm in the author's words, perhaps too much for down-to-earth people.
