Managed metadata and term store
Managed metadata in SharePoint online is made up of three core structures:
- Term groups: These can be used to create logical groups of term sets, for example, all term sets about human resources metadata would be in a term group called HR. A term group also creates a management layer for allowing specific people to manage all term sets and terms within a term group.
- Term sets: These hold term hierarchies of some specific metadata or topic, for example, department or location.
- Terms: These are the actual metadata values and can be used in site columns to describe documents, list items, or other SharePoint content.
The hierarchy can be seen in the following figure:

A Microsoft 365 tenant can have one million global terms, including terms published on site collections, 1,000 global term groups, and 1,000 global term sets.
