Chapter 2. Configuring Salesforce

The aim of this chapter is to explain how to approach data modeling in Salesforce and how to map your business rules with the help of some out-of-the-box components provided by Salesforce (through simple clicks). The chapter will explain how some of the form validations can be written with the help of simple validation rules of the Salesforce platform. We will take a look at the configuration components provided out of the box by the platform, which includes page layouts, e-mail templates, workflows, approval processes, formulae, and record types. By the end of the chapter, you will be familiar with building an application using point and clicks.

Data modeling

If you are a database administrator, you will certainly be able to map your existing knowledge to some of the concepts we are going to talk about. However, if you have no database administration experience or prior knowledge, don't worry, as this will require no prerequisites. When I began my career, I had minute knowledge about this platform as well.

So, let's start with a simple day-to-day scenario of credit card transactions that we do online while we are shopping on an online portal. You might have wondered where all the data that you type in the form goes. The answer is a database. A database for a layman is a dark disk or chip where the data resides. Let's be more logical at this point and think from an application's point of view; the database will consist of various objects.

Your organization, once purchased from Salesforce, will already consist of some out-of-the-box objects that are used in normal sales and service processes. You will see that...

Workflows

Often, our application needs the ability to send e-mail alerts, create and assign tasks on creation and modification of records, or update some of the fields depending on user input.

A common life business scenario could be that on the closure of a case (more specifically, when the status of the Case field changes to the value closed), I would like to assign a task to a service rep to inform the customer that their case has been closed and also send an e-mail to the contact (customer) that their case has been resolved.

To achieve all these functionalities, Salesforce has provided us with a toolset named workflows.

To start building a workflow, navigate to Setup | Create | Workflow & Approvals | Workflow Rules, as shown in the following screenshot:

E-mail templates

E-mail templates determine the look and feel and also the content or the body of the e-mail that goes out of Salesforce. One of the greatest abilities of the e-mail templates is to dynamically associate the data of a record with the e-mail that's flowing out of the Salesforce system.

E-mail templates are stored under public folders called unified folders, or your personal folder or a custom-created folder. For the time being, let's not worry too much about the folders and assume we are creating a new e-mail template from the unified public folder. You can create the e-mail template by navigating to Setup | Administration Setup | Communication Templates | Email Templates. There are basically four different types of options that we will see when we create an e-mail template.

Approval process

In the time we spend at the office, we are all confronted with processes that require approvals. An approval can be for a leave application from your manager. For a few organizations, an approval can be for expenses or orders. Here, an expense, order, or leave is a record in our object (either standard or custom) for which we need approval.

An approval process specifies the steps necessary for a record to be approved and who must approve it at each step. A step can apply to all records included in the process, or just records that meet certain administrator-defined criteria. An approval process also specifies the actions to be taken when a record is submitted, approved, rejected, and recalled. Let's configure an approval process for a business problem that says for all merchandise with a price of $50 and above, approval is required from the manager but if the price is over $5,000, the approval needs to be from a Vice President (VP). Let's assume we will use a standard...

Page layouts

Page layouts are generally quick configurable layouts, where the admin arranges the fields in various sections. The page layout can be adjusted by dragging and dropping the available fields in the various sections of the page. To arrange the fields on a page layout, as an admin, you will find an Edit Layout link at the top of the standard page in Salesforce. Alternatively, you can go the Object page. It has a related list called Page Layout. Click on the Edit link.

The following screenshot shows the page where you can define page layouts:

A very important point to remember is that we can have more than one page layout for an object, and we can associate different page layouts to profiles as per record type. We will discuss each record type in detail in the next section.

The screen shots of the configuration and various aspects of admin were really good. I would recommend this book to all the beginners to understand the Sales Force admin part along with detailed information which is simplified by the author. The language is simple to understand and well documented with screen shots and explanations

While well written it is a short book that if more of a reference for someone who has beginners knowledge of Salesforce. There is nothing in depth here, the topics act more like overviews with a few good tips. It would not suit someone looking to teach themselves the platform from scratch. It did not really serve its purpose for me although there is nothing wrong with the book as such.

Customs duty are charges levied on goods when they cross international borders. It is a tax that is imposed on imported goods. These duties are charged by special authorities and bodies created by local governments and are meant to protect local industries, economies, and businesses.

Do I have to pay customs charges for the print book order? Chevron down icon Chevron up icon

The orders shipped to the countries that are listed under EU27 will not bear custom charges. They are paid by Packt as part of the order.

A custom duty or localized taxes may be applicable on the shipment and would be charged by the recipient country outside of the EU27 which should be paid by the customer and these duties are not included in the shipping charges been charged on the order.
