Exploring Microsoft Excel's Hidden Treasures

Implementing Accessibility

There’s nothing quite like breaking your arm to energize your interest in accessibility. I should know because about a month and a half into drafting this book, I broke my right arm in a mountain biking accident. Fortunately, I was able to type even before the surgery that was needed to put my arm back together, so I didn’t have to do a deep dive into voice dictation and other measures. Regardless, even before my accident, I had planned to lead off this book with a discussion on accessibility because I’d realized that anything that makes a spreadsheet easier for people that are color-blind or require assistive technologies also makes the spreadsheet easier for all users. Further, it’s not just spreadsheets that can feel inaccessible. You may sometimes feel that Excel itself is impenetrable. Over the course of the entire book, my goal is to demystify as many aspects of Excel as will fit in the pages I have available.

In this chapter, I’ll discuss design strategies that will improve accessibility for all users, and point out certain Excel features that can improve accessibility within workbooks, but also within the program itself.

This chapter will delve into the following areas:

  • How to make Excel more accessible regardless of your abilities
  • Implementing accessibility within spreadsheets
  • Using Excel’s Accessibility Checker feature
  • Accessing Excel’s Accessibility Reminder add-in
  • A brief overview of spreadsheets that are inaccessible because of design strategies

Technical requirements

The example workbook that I used in this chapter is available for download from GitHub at https://github.com/PacktPublishing/Exploring-Microsoft-Excels-Hidden-Treasures/tree/main/Chapter01.

Description

David Ringstrom coined the phrase “Either you work Excel, or it works you!” after observing how many users carry out tasks inefficiently. In this book, you’ll learn how to get more done with less effort. This book will enable you to create resilient spreadsheets that are easy for others to use as well, while incorporating spreadsheet disaster preparedness techniques. The time-saving techniques covered in the book include creating custom shortcuts and icons to streamline repetitive tasks, as well as automating them with features such as Tables and Custom Views. You’ll see how Conditional Formatting enables you to apply colors, Cell icons, and other formatting on-demand as your data changes. You’ll be empowered to protect the integrity of spreadsheets and increase usability by implementing internal controls, and understand how to solve problems with What-If Analysis features. In addition, you’ll master new features and functions such as XLOOKUP, Dynamic Array functions, LET and LAMBDA, and Power Query, while learning how to leverage shortcuts and nuances in Excel. By the end of this book, you’ll have a broader awareness of how to avoid pitfalls in Excel. You’ll be empowered to work more effectively in Excel, having gained a deeper understanding of the frustrating oddities that can arise daily in Excel.

This book is an interesting insight into the quirks and treasures of Excel. The chapters on Data Validation and Accessibility provided some interesting quirks and tips, which I'm confident that even regular Excel users would not have known. The book has chapters on modern Excel features too such as Dynamic Array formula, Power Query and LAMBDA.Overall it is a great book. It has 400+ pages, so good depth to the content. And it contains something for everyone. I guarantee everyone will learn something from this book.

I found this Hidden Treasures book well worth my time and money. The author, David Ringstrom, does an excellent job explaining handy mouse and keyboard shortcuts that I did not realize existed, or did not know how to use properly.(For example, I finally understand the differences between Enter, Edit and Point mode after being irritated and confused by this since I started using Excel.)Ringstrom does a great job explaining advanced Excel features (e.g. Dynamic Arrays, Let, Lambda, etc.) with example Excel spreadsheets available for the user to follow along.Of course nothing is perfect - there are a few typos, which are somewhat inevitable in a book with such detailed follow-along material. But I am nitpicking here, because none of this left me frustrated or confused.Thank you David Ringstrom for taking the time and effort to write this excellent book.

I really liked the book, its filled with great tips from top to bottom.First part is all about accessibility like in spreadsheets. Second part is about interactivity and automation, which is a great feature to help reducing workload. Third part is about data analysis, which is a topic thats getting more and more important these days. The author shows a huge amount of different functions that can be used to to analyse data.He ends up the book with "Other Books you May Enjoy" which contains some great advice on which books are related to this one.My favorite part was chapter three, which was about "Toolbar Treasures". I work with Excel on a daily, however I found some great tips and shortcuts to implement and make my daily work way easier and faster. The whole book, including chapter three, is great to getting deep insights on how to use Excel effectively..

This book is dense! I learn something on almost every page and I've been using Excel for 25 years and PowerQuery since it was PowerPivot 10 years ago. Here's one example:"F6 to select the current worksheet tab and then use the left or right arrow keys to navigate to a new sheet, and then press Enter." And here I've been using Control + Page Up or Page Down instead this whole time. There's a fun conversational and entertaining writing style too; this is not some dusty tome that will cure your insomnia. Here's an example: "If there’s ever a reality TV series where we get to vote features out of Excel, Merge Cells is first on my list."My suggestion is to keep a reference copy by your desk to flip through when PowerQuery takes its time refreshing. It's not just a book - there are sample workbooks you can download and follow along with.Another bonus is it's not just the same timeworn tips that have been working since Excel 97. There's a chapter on the newfangled Dynamic Arrays. Now I know the best ways to use #, AKA the Spilled Range Operator.Anyway, I highly recommend this book.

I would recommend downloading the workbook from the provided GitHub link to get a better understanding of the possibilities within Excel. I have gained additional knowledge of several functions within Conditional formatting, which is the most important Excel feature personally. As I am turning pages, I am witnessing increased insights to be better at Excel. The author David makes sure that the book is relatable for all Excel users. His experience is very well administered when he shares his understanding of the software and its audience with sentences like,‘Some users purchase third-party software to extract data from PDF files due to a lack of better alternatives’Yeah David, that is me. I simply followed all the steps mentioned and voila, I managed to extract the PDF data directly into Excel without looking at any third-party apps.Such alternatives and information make the book an exercise in Excel expertise.
