Providing access to datasets
One of the great things about Power BI is that you can reuse datasets from other reports to create your own reports. This allows you to minimize the memory used by Power BI and keep all your reports consistent. If you have ever been to a meeting where everyone is arguing about the numbers and where they came from, then you know that having one, consistent source of data can be invaluable.
Another reason to use the same dataset is that you only have to refresh the data for one dataset instead of many. This leads to less strain on the source system.
You can automatically connect to any dataset in any workspace where you are a Contributor, Member, or Admin. You will need to be granted access to any other dataset, on a dataset-by-dataset basis.
To grant someone access, open the Datasets + dataflows page from the menu, then hover your mouse over the dataset name and open the drop-down menu by clicking on the three vertical dots. Select Manage permissions...
