We've logistically planned the meeting, found the facilitator, and secured the location
The participants have been invited and worked on their assignments
The group has reviewed (or created) the mission, vision, and values
The group has conducted a SWOT analysis of the organization

Have multiple meetings
If you decide to conduct your meetings on-site, one approach might be to break the strategic planning meeting into smaller parts. This gives participants time to process the information in between meetings. A common separation might be to conduct the MVV session as one meeting, then the SWOT analysis, and finally the strategy plans.
A lot of work has been done. But there's still a lot to do. Now it's time to develop the strategic plan itself. I know you might be saying to yourself, "Is all this prework really necessary?" And the answer is "yes". Emphatically...
